Position Overview:

The Support Staff plays a crucial role in maintaining smooth operations within the organization by providing essential support to various departments. This role involves assisting with clerical tasks, performing general office duties, and ensuring that facilities are well-maintained to support a productive work environment.

Key Responsibilities:

  1. Administrative Assistance

    • Provide general administrative support, including filing, photocopying, scanning, and organizing documents.
    • Assist with data entry, record-keeping, and maintaining accurate files and databases.
    • Distribute mail, packages, and other documents to appropriate departments or individuals.
    • Support scheduling and organizing meetings, preparing meeting rooms, and assisting with other clerical tasks as needed.
  2. Facility Maintenance and Management

    • Ensure office areas, including break rooms, meeting rooms, and common spaces, are clean and organized.
    • Coordinate with maintenance staff or external vendors to ensure office equipment and facilities are properly maintained and functioning.
    • Restock office supplies, monitor inventory levels, and place orders as needed.
  3. Customer Service and Reception

    • Assist with reception duties, greeting visitors, answering phones, and directing inquiries to the appropriate personnel.
    • Provide excellent customer service to visitors, clients, and staff, maintaining a professional and welcoming atmosphere.
    • Support the team with handling inquiries and responding to general questions or requests.
  4. Event and Logistics Support

    • Assist in organizing company events, meetings, and training sessions, helping with setup, breakdown, and other logistical tasks.
    • Provide support in preparing materials, setting up equipment, and ensuring necessary resources are available for smooth event operations.
    • Coordinate with team members to handle any logistical needs for daily office operations and special projects.

Qualifications and Skills:

  • High school diploma or equivalent; additional certifications are a plus.
  • Previous experience in a support or clerical role is preferred.
  • Basic computer skills, including familiarity with Microsoft Office (Word, Excel, Outlook).
  • Strong organizational skills and attention to detail.
  • Good verbal and written communication skills.
  • Ability to manage time effectively and handle multiple tasks.
