Position Overview:
Key Responsibilities:
Administrative Support
- Handle general office management tasks, including organizing files, managing schedules, and maintaining office supplies.
- Assist with organizing meetings, preparing agendas, taking minutes, and following up on action items.
- Manage office logistics, travel arrangements, and event coordination as needed.
- Oversee and support administrative processes, including record-keeping and document management.
- Coordinate with vendors and suppliers, ensuring smooth procurement and maintenance of office equipment.
Communication and PR
- Develop and implement communication strategies to enhance the organization’s visibility and brand.
- Prepare and edit organizational materials such as press releases, reports, newsletters, and social media posts.
- Manage the organization’s social media channels, updating content regularly and engaging with audiences.
- Serve as a liaison between the organization and external stakeholders, including media, partners, and the public.
- Coordinate and support internal communications, ensuring employees are informed of organizational developments.
Customer Relations and Inquiries
- Serve as the first point of contact for inquiries, providing excellent customer service and redirecting inquiries as appropriate.
- Handle communication with clients, stakeholders, and partners via email, phone, or in-person.
- Maintain and update contact lists and distribute information as needed.
Data and Reporting
- Gather and organize data for reporting purposes, including monthly summaries of communication activities.
- Assist in preparing presentations, reports, and documents for internal and external use.
- Support data collection and analysis to inform organizational strategy and planning.
Qualifications and Skills:
- Bachelor’s degree in Communications, Business Administration, Public Relations, or a related field.
- Proven experience in administration, communications, or a related role.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite and communication tools.
- Strong organizational skills with attention to detail.
- Ability to handle multiple tasks, prioritize, and meet deadlines.
- Knowledge of social media management and content creation is a plus.
